Thank you for choosing us for your Destin, Florida vacation. Pelican Beach Management is committed to providing you a pleasant and memorable experience.

 

The following are terms and conditions for renting vacation condominiums from Pelican Beach Management. These rental policies only apply to short term vacation rentals that Pelican Beach Management provides. They do not apply to LONG-TERM RENTALS. For information about our policies related to LONG TERM RENTALS, please contact our rental management department.

 

We kindly encourage all guests to carefully review RESERVATIONS/FEES/DEPOSITS/CANCELLATIONS and IMPORTANT TERMS & CONDITIONS shown below. Together, these policies are designed to ensure a smooth and enjoyable stay and are binding to all reservations. HOW TO MAKE A RESERVATION


Please make your reservation ONLINE or by calling 888-PELICAN (888-735-4226). We accept Cash (for reservations made onsite/in person and for incidental charges after arrival), Visa, American Express, Discover, Mastercard, and some checks (please inquire prior to arrival).

 

Upon confirmation of your reservation, please verify arrival and departure dates, rates and condominium reserved. Contact us immediately if you find a discrepancy. Otherwise, it will be assumed correct.



RESERVATIONS/FEES/DEPOSITS/CANCELLATIONS


RENTAL FEES & TAXES

Prices are subject to change without notice. However, your price is guaranteed once you receive a booking confirmation. Although every effort has been made to ensure the accuracy of the information contained online, we cannot accept responsibility for any errors or omissions, and reserve the right to vary, amend, supplement or cancel any of the information or offers featured online at any time. Rental fees do not include state and local taxes, $250 Reservation Fee or Convenience Fee.


RENTAL FEES AND MINIMUM STAYS

All published rental rates are subject to change without notice. Rates are NOT confirmed until a deposit is made. We reserve the right to correct rates that may have been misquoted due to human and/or computer error. No discounts will be applied for previously booked reservations.


Check-out time is 10:00 a.m. CST. Late departures will incur a $75 fee and may be charged up to the cost of an additional night's stay.


RESERVATION FEE

All reservations are subject to a non-refundable $250 Reservation Fee (effective January 1, 2025). All rental rates quoted by Pelican Beach Management INCLUDES DEPARTURE CLEANING.


CONVENIENCE FEE

A convenience fee for credit cards will be added to each reservation and is not refundable.

 

TRAVEL PROTECTION (OPTIONAL)

Travel protection has been made available with your reservation. Travel Proection includes coverage for the loss of your prepaid, non-refundable trip costs if your trip is canceled or interrupted due to certain unforeseeable events. We offer travel protection as a way for you to help protect yourself and your trip investment. Outstanding reservation costs are not eligible for reimbursement at the time of cancellation and the cost of the Plan is not eligible for a full refund outside of the Plan’s free look period. DAMAGE PROTECTION (OPTIONAL)

The Vacation Rental Damage Protection Insurance plan includes the insurance premium and assistance services fee. Insurance coverages are underwritten by: Generali U.S. Branch, New York, NY; NAIC # 11231, for the operating name used in certain states, and other important information about the Insurance & Assistance Services Plan, please see Important Disclosures.


ADVANCED RENTAL PAYMENT

An advanced rental payment of 30% of the Rental Fee, the Reservation Fee, and the Convenience Fee is due at the time of booking. If Travel Protection or Damage Protection is purchased, it will also be collected in full when it is added to a reservation. The remaining balance is not due until 30 days prior to arrival date. We accept Visa, MasterCard, Discover, and American Express for advance rental payments.


FINAL RENTAL PAYMENT

The final rental payment is the balance of rent, taxes, and other charges related to the reservation (the remaining balance) will be charged to the credit card used to make the reservation. The final payment due date is 30 days prior to arrival date. If the reservation is made within 30 days of the date of arrival the total payment is due at the time of booking. To make a payment using an alternate credit card, you must ensure your payment is received by Pelican Beach Management before the final payment due date. For your convenience, you may pay your balance online. Failure to remit the final payment by the scheduled due date will result in the cancellation of your reservation. NO EXCEPTIONS.


REFUNDS/CANCELLATION OF RESERVATIONS/CHANGES

To protect your vacation rental investment, we strongly recommend purchasing Travel Protection. Reservations without prior purchase of Travel Protection, if cancelled prior to the final payment due date, will result in a refund minus the Reservation Fee and Convience Fee. No exceptions can be made to this policy. Once you have booked your dates, they will be locked in. All changes to reservations after the final payment are not permitted. However, additional nights if available can be added to your stay, IF AVAILABLE. Additional nights within 30 days must be paid in full at time of adding the additional nights.

 

Refunds for cancellations, changes, or shortened stays due to actual or anticipated hurricanes, tropical storms, or other inclement weather will not be issued under any circumstances. Refunds for natural disasters damage that make the property unoccupiable will not be issued under any circumstances. Refunds that may render the unit area and/or amenities unavailable to (include, but not limited to: natural or man-made disaster, owner usage, technical glitch, maintenance, pandemic, endemic, travel bans, health concerns, state of emergencies, ordered evacuations, local venue closure, community amenity closure, beach closure and/or the property remaining as Pelican Beach Management rental at the time of the guest stay) will not be issued under any circumstances.

 

WE HIGHLY RECOMMEND YOU PURCHASE TRAVEL PROTECTION TO COVER ANY UNFORSEEN DIFFICULTIES OR EVENTS. However, even with purchased Travel Protection, Pelican Beach Management will not offer any refunds. If Travel Proection is purchased, all claims must be filed with Generali Travel Insurance and all reimbursement is subject to said company and the policy purchased.

 

No refunds will be given for late arrivals, early departures, no shows, or cleaning and maintenance concerns. If present and reported, all cleaning and maintenance concerns will be corrected promptly. Please make sure to report any cleaning or maintenance issues as soon as possible to allow Pelican Beach Management to correct any issues. Pelican Beach Management will not be held responsible for or provide any compensation for any issues reported after departure.


THIRD PARTY FEES

Service fees may apply to guests who reserve online with third party booking websites such as REDAWNING, VRBO, or AIRBNB. Third party service fees are neither controlled nor collected by Pelican Beach Management and, as such, are not reflected in reservation statements provided by Pelican Beach Management.


RESORT RENTAL & PAYMENT POLICY

 

Cardholder Verification at Check

Present the original payment card. The physical card used to guarantee the booking must be produced at arrival. Mobile wallet tokens (Apple Pay, Google Pay) are accepted when the same device-bound token was used to book.


Show government-issued photo ID. The name on the ID must exactly match the name embossed on the card and on the reservation. ID is scanned and stored with the folio solely for dispute evidence and PCI-DSS-compliant retention.  


EMV-chip or contactless tap required. Mag‑stripe swipes and manually keyed entries are not permitted.

 

Unable to Present Original Card

• If the original card is lost, expired, or otherwise unavailable, the guest must provide an alternate card in their possession and authorise the total value of the stay plus tax at check-in.


• The original authorization will be reversed; processing times to appear on the guest’s account depend on the issuing bank (typically 3–10 business days).


• Room lock key codes will not be issued until successful card verification and matching ID are completed.

 

Fraud-Prevention Red Flags

Reservations may be cancelled or placed into manual review if any of the following occur:

• Card country ≠ IP address or billing country

• Same-day booking for high‑value accommodation

• Multiple declined authorizations within a short window

 

The Pelican Beach Management reserves the right to refuse service, cancel a reservation, or require additional verification where reasonable grounds for fraud exist.

 

Chargeback Disputes

For your protection and ours, we maintain a full evidence kit (3-D Secure logs, ID and card scans, signed registration card, and folio history). In the event of a dispute, this documentation is supplied to the issuing bank to demonstrate genuine cardholder consent.

 

By completing a reservation, you acknowledge and agree to comply with the above Rental & Payment Policy. Failure to fulfill the verification requirements may result in denial of entry, cancellation of the reservation, and/or forfeiture of deposit.



IMPORTANT TERMS & CONDITIONS



AGE REQUIREMENT TO RENT

Absolutely no reservations or access to rental condos on Pelican Beach Management program will be made to persons under the age of 25 unless accompanied by a parent or guardian at a ratio of no more than three people for each parent or guardian over the age of 25. A parent or guardian must be staying in the rental condo at all times, NO EXCEPTIONS. We do not rent to chaperoned groups. Our rental condos are monitored for violations of this policy, and if found in violation of this rule will result in immediate eviction with no refunds. Reservations made under false pretenses will be subject to eviction and forfeiture of all deposits and payments. No exceptions.


Upon arrival you must provide identification and sign a Registration Card, a binding legal document, verifying that you are an adult who is at least 25 years of age and financially responsible for any damage made by parties present during your occupancy dates. Additionally, the individual who's name the reservation was made will be asked to provide a state issued photo identification card which matches the name on the credit card submitted for payment.

 

Any reservation made under false pretense will result in eviction with loss of advance rent and/or all rent and associated charges.


PETS

Pets are not allowed at The Resorts at Pelican Beach. Please, no exceptions.


HURRICANE/SEVERE WEATHER POLICY

Guests covered by Generali Travel Protection may be eligible for a full or partial reimbursement through Generali should a mandatory evacuation order be issued due to a hurricane or severe weather, subject to the terms defined within Generali's Vacation Rental Insurance Description of Coverage. A copy of this description of coverage can be found on our website or provided by Pelican Beach Management upon request. We will not issue refunds for payments made after the final payment due date, cancellations or shortened stays due to actual or anticipated hurricanes or severe weather.


RENTAL ASSIGNMENT CHANGE

Pelican Beach Management reserves the right to change Rental Assignments without prior notice or liability in the event of a sale of the rental property, or if the unit becomes unavailable. When comparable accommodations are not available, guest(s) will have the option of selecting from available properties or receiving a complete refund.


CHECK IN/CHECK OUT

All arriving guests must present a valid state-issued ID upon check-in. The Guest Services team will verify the ID against the credit card used for incidentals and confirm it matches the reservation name(s).

 

Check-in is available between 4:00 p.m. and 6:00 p.m. CST. During peak season, early check-ins and late check-outs are not permitted. Please note that your condo may not be ready for occupancy until 6:00 p.m. CST during this time. We appreciate your patience and understanding.


DAMAGES

All reservations will require a major credit card on file for damages. Our rental units are privately owned and decorated to the owner’s personal taste. Re-arrangement of the existing furniture is prohibited and may be cause for additional fees charged to your credit card. Guests are responsible for the care of the condo rental and its contents during occupancy. Guests are encouraged to report all damage to the condo to the Front Desk Manager or Rental Manager, provided it is disclosed to management immediately to assess the damage. Pelican Beach Management has ultimate administrative authority on all decisions as this is not an insurance policy.

 

Guests will be responsible for all damage to include but not limited to broken items, soiled or misplaced linens, theft, failure to remove garbage from the property, or leaving the property excessively dirty. These fees will be charged to the payment method on file.


GUEST RESPONSIBILITY AND ASSUMED RISK

The use of all facilities are at the risk of the user(s). Pelican Beach Management will not be held liable for any damage to vehicles, and/or personal injury while on property. In addition, the head of the reservation party is responsible for all actions of those in the party and their guests.


NO SMOKING RULE

All use of any tobacco product involving smoking, burning, or combustion of tobacco is strictly prohibited on any of the limited common element patios and balconies, and on all of the common elements of the condominium lying within the footprint of the condominium building, including all walkways in front of units, the elevator foyers, all lobbies, all elevators, the indoor pool, all gym facilities, all public restrooms and all conference rooms.


There are two places you can smoke on the property. The designated areas are: (1) the south side of covered parking and (2) tiki bar area. Smoking of non-tobacco products which are harmful to the health, safety, and welfare of the unit owners is also strictly prohibited in the above designated areas.


This prohibition also extends to the use of electronic cigarettes, including “vaping” or the inhaling of vapors, including tobacco-free vapors, from a personal vaporizer device.


Please note, the prohibition on smoking, against the use of any lighted or burning tobacco or non-tobacco product, and against “vaping,” extends to all unit owners as well as their occupants, family, guests, invitees, lessees and all others who are present on any portion of the common elements or limited common element balconies of Pelican Beach Resort Condominium.


Smoking in units will accrue a $500 charge for Ozone Cleaning. NO EXCEPTIONS.


SPRING BREAK AND 4TH OF JULY HOLIDAY RENTAL POLICIES

WRISTBANDS

At Pelican Beach, we want to ensure that our guests are comfortable and secure. Therefore, in the peak spring and summer months (year-round), the Pelican Beach Owners Association has elected to initiate a wristband program for all guests staying at the resort. Upon check-in, guests will receive a wristband which must always be worn while on the property so that resort staff can determine who should not be on property taking up beach or pool space from registered guests. Please note that there will be a $25 charge to replace any lost wristbands.

Beach & Recreation Essentials


  • Beach Towels: Our units do not provide beach towels, so please bring your own.

  • Sunscreen: Protect your skin with a high-SPF, water-resistant sunscreen.

  • Beach Gear: Items like paddle ball equipment, tennis racquets, and other beach games.

  • Beach Attire: Swimsuits, cover-ups, flip-flops, and sun hats for those sunny days.

  • Reading Material: A good book or e-reader for relaxation.

Note: Beach tents and canopies are not permitted on our property.


Toiletries & Personal Items


Our units come with an initial supply of toiletries. For stays longer than a couple of days, consider bringing or purchasing the following:

  • Toilet Paper & Paper Towels: Additional supplies beyond the initial provision.

  • Soap & Shampoo: Personal hygiene products as per your preference.

  • Laundry Detergent: If you plan on doing laundry during your stay.

  • Personal Toiletries: Toothbrush, toothpaste, deodorant, etc.

These items are also available for purchase at the front desk for your convenience.


Condo Comforts


  • Extra Towels: While bath towels are provided, bringing extra can be helpful, especially if you don't plan on doing laundry.

  • Reusable Water Bottles: Stay hydrated during your beach outings.

  • Snacks & Beverages: Stock up on your favorite treats for in-room enjoyment.
